Missions Administrative Assistant
Ministry Description
Reports to: Missions Pastor
Position Description: Assist and support the Missions Department Team to develop and implement outreach efforts locally and abroad. Responsibilities rest in three primary areas:
1. Coordinating; communication, events, trips
2. Organizing; department and partner data, funds and church benevolence
3. Manage volunteer ministry partners to fulfill mission/outreach roles or tasks
Duties and Responsibilities:
1. Coordinate the following;
a. Communication:
Update the following using appropriate resources and guidance:
i. Missions Wall: Update, maintain, staffing (self, ministry partners)
ii. Newsletters: Collect partner news, share prayer requests
iii. Website: Update, maintenance of information
iv. Record and report ministry numbers to elders
b. Events:
Arrange the following using appropriate resources and guidance:
i. Ministry Partner gatherings
ii. Missionary visits
iii. Training sessions
iv. In-church promotions of partner organizations
c. Trips:
Arrange the following using appropriate resources and guidance:
i. Missions Staff travel arrangements
ii. Short-term teams arrangements
2. Organize the following;
a. Missionaries/Mission Organizations and Outreach Partners
i. Catalog received communication
ii. Respond, as able or per instruction
iii. Coordinate visit details
b. Departmental
i. Maintain/update Dept calendars
ii. Attend Dept meetings for; instruction, input, tasks, note taking as required
c. Fund Management
i. Missionary/Ministry records to satisfy church and IRS compliance
ii. Missions staff expense records, as needed
iii. Mission Marketplace coordination and check requests
iv. Check requests for recurring and special needs
d. Benevolence; in a team setting
i. Receive and determine eligibility of applicants, with input from Benevolence Team
ii. Communication with applicants of team decision
iii. Coordinate distribution of any allocated funds
3. Manage mission and outreach Ministry Partners
a. By design, much of our mission and outreach efforts are embraced by members of Southeast Christian Church. These
‘Ministry Partners’ are important advocates who will assist in helping us reach our church and department goals of loving and
serving our neighbors. Therefore, it is important for us to identify and equip these MPs to thrive in their roles by:
i. Recruiting, per instruction and/or department guidelines
ii. Training, per instruction and/or department guidelines
iii. Assigning responsibilities, as required or directed
iv. Communication, as required or directed
Essential Skills/Abilities:
• Passion for seeing the Gospel shared, embraced, and expressed in the lives of the needy and the lost.
• 3+ years administrative support experience.
• Excellent customer service skills.
• Highly detail-oriented.
• Self-motivated able to work through task-lists, and/or assess the ‘next task’ based on an overall knowledge of the Missions
Department’s mission.
• Desire to grow in understanding appropriate outreach/mission principles of program and developmental design.
• Proficiency in use of Microsoft Office suite of products
• Ability to quickly learn the use of other software which may be of use to the department.
• Excellent oral and written communication skills.
Time Requirements: 35 hours/week. This may include occasional weekends when a missionary or mission organization is being highlighted in the lobby. This is non-exempt (hourly paid) support position.
